(Last updated: 5 November 2026)
These Terms and Conditions apply to experiences offered, operated, organised or arranged by Artex Inc. (hereinafter referred to as "Artex" or "the Company"), including guided walking tours, cultural activities, Geiko performances, dining experiences and other related services in Japan.
These experiences may be offered as shared or private experiences and may be booked directly through Artex or through third-party
booking platforms, travel agents or other authorised booking partners.
By making a reservation, you agree to these Terms and Conditions. Please read them carefully before completing your booking.
1. Reservations and Bookings
-
Reservations may be made through Artex's official website, by email, through online travel agencies (OTAs), travel agents or other authorised booking partners.
-
A reservation is considered confirmed once a booking confirmation has been issued by Artex or the relevant booking platform or travel agent.
-
Guests are responsible for providing accurate booking information, including names, contact details, the number of participants and any information relevant to the experience.
-
Where a reservation is made by a travel agent or another person on behalf of guests, the person making the reservation is responsible for ensuring that all participants are informed of these Terms and Conditions and any applicable experience-specific conditions.
-
For reservations made through third-party booking platforms or travel agents, the relevant booking terms and conditions, payment procedures and cancellation policies may also apply.
-
In the event of any inconsistency between these Terms and Conditions and the specific terms presented by the booking platform or travel agent, the applicable booking conditions and mandatory legal requirements shall be taken into consideration.
2. Prices and Payment
-
All prices are displayed in the currency specified at the time of booking.
-
Unless otherwise stated, the price includes only the services and items expressly described in the relevant experience details.
-
Additional expenses, including personal purchases, transportation, optional activities and other expenses not expressly included in the experience price, are the responsibility of the guest.
-
Payment must be completed in accordance with the payment instructions and deadlines provided at the time of booking.
-
Applicable taxes and additional charges will be indicated during the booking process or by the relevant booking partner.
3. Shared and Private Experiences
-
Shared experiences are conducted with other participants who may have made separate reservations.
-
Minimum and maximum participant numbers may apply to individual experiences.
-
Where a minimum number of participants is required, this will be stated in the relevant experience details. If the minimum number is not reached, Artex may cancel the experience and offer an appropriate refund or alternative arrangement.
-
Private experiences are arranged exclusively for the guests included in the confirmed reservation.
-
The number of participants for a private experience must not exceed the agreed number without Artex's prior approval.
-
Additional participants may be declined where the arrangements cannot accommodate them.
4. Cancellation and Changes by Guests
-
Guests wishing to cancel or change a reservation must contact Artex or submit their request through the booking platform or travel agent through which the reservation was made.
-
Cancellation deadlines, cancellation fees and refund conditions may vary depending on the experience.
-
The specific cancellation policy displayed at the time of booking or provided in the booking confirmation shall apply to each reservation.
-
For reservations made through third-party booking platforms or travel agents, cancellation and refund requests must be handled in accordance with the applicable booking procedures and policies.
-
Requests to change the date, time or number of participants are subject to availability and Artex's approval.
-
Additional costs arising from an approved change may be charged to the guest.
-
Failure to attend an experience without prior notice will generally be treated as a no-show and will not be eligible for a refund, except where required by applicable law or the relevant booking conditions.
5. Cancellation and Changes by Artex
-
Artex reserves the right to cancel, postpone or modify an experience where necessary due to circumstances beyond its reasonable control, operational difficulties, safety concerns or other unavoidable reasons.
-
Such circumstances may include severe weather, natural disasters, public transportation disruptions, illness or unavailability of guides, performers, venues or other service providers.
-
Where Artex cancels an experience, affected guests will be informed as soon as reasonably possible.
-
In the event of cancellation by Artex, guests will be offered an appropriate refund or alternative arrangement in accordance with the applicable booking conditions and Japanese law.
-
Artex may make reasonable changes to the itinerary, schedule, venue, guide, performer or programme where necessary, provided that the overall nature of the experience is not materially changed.
-
Artex will endeavour to notify guests of significant changes in advance whenever possible.
6. Late Arrival and No-Shows
-
Guests are requested to arrive at the designated meeting point at least 5–10 minutes before the scheduled starting time, unless otherwise instructed.
-
Guests who expect to arrive late must contact Artex as soon as possible.
-
Artex and its guides are not obliged to delay the start or extend the duration of an experience due to late arrivals.
-
Where a guest arrives after an experience has started, participation may not be possible, depending on the nature and location of the experience.
-
Late arrivals and no-shows are generally not eligible for refunds, subject to the applicable cancellation policy and mandatory legal requirements.
7. Weather and Unforeseen Circumstances
-
Outdoor experiences generally proceed in ordinary weather conditions, including light rain, unless otherwise specified.
-
Guests are responsible for wearing appropriate clothing and footwear for the weather and activities involved.
-
Artex may modify, postpone or cancel an experience where weather conditions or other unforeseen circumstances pose a risk to participants or make the experience impracticable.
-
In such cases, affected guests will be contacted and offered an appropriate alternative arrangement or refund in accordance with the applicable booking conditions and Japanese law.
8. Guest Responsibilities and Conduct
-
Guests are expected to behave respectfully towards guides, performers, other participants, local residents and service providers.
-
Guests must follow reasonable instructions given by guides, staff and experience providers, particularly where these concern safety or the preservation of cultural property.
-
Guests must respect local customs, traditions, religious practices and the privacy of others.
-
Harassment, abusive behaviour, discrimination, excessive intoxication or any conduct that disrupts an experience or creates a risk to others will not be tolerated.
-
Artex may refuse participation or ask a guest to leave an experience where their conduct poses a safety risk or seriously disrupts the experience. Any refund in such circumstances will be determined in accordance with applicable law and the relevant booking conditions.
-
Guests are responsible for their personal belongings throughout the experience.
9. Health, Safety and Accessibility
-
Guests are responsible for considering whether they are physically able to participate in the booked experience.
-
Certain experiences may involve walking, standing for extended periods, stairs, uneven surfaces or other physical activities. Relevant information will be provided in the experience description where applicable.
-
Guests are encouraged to inform Artex in advance of any relevant accessibility requirements, allergies, dietary restrictions or other special considerations.
-
Artex will make reasonable efforts to accommodate requests where possible but cannot guarantee that all requests can be fulfilled.
-
Guests must immediately inform their guide or the relevant staff if they feel unwell or encounter any safety concerns during an experience.
-
Parents or guardians are responsible for supervising children participating in an experience.
10. Insurance
-
The price of any experience offered, operated, organised or arranged by Artex does not include insurance coverage of any kind for guests.
-
Artex does not provide or arrange personal travel insurance, medical insurance, accident insurance, personal liability insurance, baggage insurance or other individual insurance coverage for guests as part of its experiences.
-
Guests are strongly encouraged to arrange their own appropriate insurance before participating in an experience or travelling to Japan. This may include coverage for medical expenses, personal accidents, personal liability, loss of or damage to personal belongings, travel interruptions and other relevant risks.
-
Guests are responsible for checking that their insurance policy provides adequate coverage for the activities in which they intend to participate, including any applicable exclusions or limitations.
-
Any insurance maintained by independent third-party service providers does not constitute insurance coverage provided to guests by Artex, unless expressly confirmed otherwise in writing.
-
The absence of insurance coverage included in an experience does not exclude or limit any legal responsibility or liability that Artex may have under applicable law.
11. Geiko Performances and Cultural Experiences
-
Certain experiences involve independent performers, cultural practitioners, restaurants, venues or other service providers.
-
Programme details, performers, venues and schedules may be subject to change due to circumstances beyond Artex's reasonable control.
-
Guests are expected to respect the performers, cultural practitioners and the traditions associated with each experience.
-
Photography, video recording and audio recording may be restricted or prohibited during certain performances and cultural activities. Guests must follow the instructions provided by Artex and the relevant service providers.
-
Guests must not touch performers, their costumes or personal belongings without explicit permission.
-
Any specific rules or restrictions communicated before or during an experience must be observed.
12. Third-Party Service Providers and Booking Arrangements
-
Depending on the experience, Artex may provide and operate services directly or arrange services on behalf of guests through independent third-party providers, including Geiko, restaurants, cultural practitioners, guides and venue operators.
-
Where Artex acts as an organiser or operator, Artex is responsible for the services it has undertaken to provide, subject to applicable law and these Terms and Conditions.
-
Where Artex arranges a booking or service on behalf of a guest through an independent provider, the relevant service may be provided directly by that provider under the provider's own terms, conditions and operational policies.
-
In such cases, guests may be required to comply with additional conditions imposed by the relevant provider. These conditions will be communicated where applicable.
-
Artex will make reasonable efforts to coordinate arrangements and communicate relevant information between guests and service providers.
-
Availability, schedules, programme details and other arrangements involving independent providers may be subject to change.
-
Nothing in this section excludes or limits any responsibility or liability that Artex may have under applicable law.
13. Photography and Recording
-
Guests may take photographs during an experience only where photography is permitted.
-
Guests must respect any photography or recording restrictions imposed by Artex, performers, venues or other service providers.
-
Guests must not photograph or record other participants, performers or local residents in situations where doing so would violate their privacy or the instructions given.
-
Artex will not use photographs or videos in which guests are identifiable for promotional or commercial purposes without obtaining appropriate consent.
14. Liability
-
Artex will exercise reasonable care in arranging and providing its experiences.
-
Guests are responsible for taking reasonable care of their own health, safety and personal belongings during an experience.
-
Artex shall not be responsible for loss, damage, injury or expense arising from circumstances beyond its reasonable control, except to the extent that such loss, damage, injury or expense results from acts or omissions for which Artex is legally responsible.
-
Artex shall not be responsible for the independent acts or omissions of third-party providers to the extent that Artex is not legally responsible for them.
-
Nothing in these Terms and Conditions excludes or limits any liability that cannot lawfully be excluded or limited under applicable Japanese law.
-
Guests are encouraged to obtain appropriate travel insurance before travelling to Japan.
15. Personal Information
-
Artex collects and uses personal information provided by guests for purposes including processing reservations, communicating booking details, arranging experiences and providing customer support.
-
Personal information will be handled in accordance with Artex's Privacy Policy and applicable Japanese laws.
-
Artex may share necessary information with relevant booking partners and service providers where required to arrange and deliver the booked experience.
-
Artex will take reasonable measures to protect personal information against unauthorised access, loss or disclosure.
